What are you looking for in a reception hall rental? That is the question you should be asking, along with this one: what do you need in an event venue?

What a reception hall rental should have

Let’s break this down into attributes a reception hall should have:

  • Room to roam
  • Space for food preparation
  • Tables
  • Chairs
  • Sound system
  • WiFi
  • Room outside
  • Central location
  • A bar

Let’s look at each of them!

Room to roam

You have to plan like every person you invite will show up.  Round tables take more room than auditorium tables. Dancing requires, say, six square feet per person.  Martha Stewart calculates fifteen square feet per person, so if you have one-hundred people attending, you’ll need fifteen-hundred square feet for your reception hall. Bottom line, you’ll need enough room for everyone to be comfortable.  Tarrant Events Center can comfortably seat 100 people with banquet tables, 135 with auditorium tables, and a total of 275 guests.

How many people will be attending?  Determine that and then do the math.

Food preparation

Is there a finished kitchen on-premises, like there is at Tarrant Events Center?  Will a caterer be preparing the food? How about food trucks, which we highly recommend at Tarrant Events Center?

Tables

Not only tables but linens as well!  What kind of tables? Tarrant Events Center provided banquet, round tables, and auditorium, rectangle tables.  Make sure you have this detail worked out before signing a lease.

Chairs

You need the same number of chairs as you have potential attendees.  Coming up short is embarrassing.

Sound system

A state-of-the-art 10,000 Watt sound system; that’s what you get at the event center.  Make sure you have at least that at the venue you rent. And who will be playing the music? Live musician? DJ?  Ask for recommendations from the venue manager. At Tarrant Event Center, we have a list of musicians/DJ’s we have worked with in the past.

WiFi

This is a deal-breaker. Any event venue rental you rent must have WiFi.

Outside venue

Our wedding and receptions venue has the main venue plus one acre of treed property for attendees to use. We find the chance to go outside for a breath of fresh air, and a brief moment of exercise, is greatly appreciated.  Plus smokers have a place to escape.

Central location

Don’t make your guests drive miles for the event.  Make it centrally located so everyone in-town has easy access.

A bar

Space for a bar . . . a liquor license . . . and a trained bartender, if needed. These are details Tarrant Events Center has covered like a blanket.
