What does it cost to rent a convention center? That may seem like a very obvious answer: whatever the rental cost is?  But it is a bit more complicated, and detailed, than that, and today we will cut through the confusion and give you an answer which will help you as you go forward with your convention plans.

The obvious convention center rental cost.

Call most convention centers and ask them for their rental fee, and they will most likely quote you the base rental price. For example, at Tarrant Events Center, our event fee is $2000-$3000, depending upon the day of the week.

Prices for an event hall rental can range from $500 to $10,000, depending upon the city and the popularity of the site.  If you want your convention held at Disneyland, plan on paying on the high end of that scale.  At the local VFW?  Low end of the scale.

But those prices are only the beginning of this discussion.

The not-so-obvious convention center rental costs.

The secondary costs of renting a convention center are food, decorations, set-up and take-down, and any entertainment you may want.

Seems straightforward, yes?

These are the items we refer to as the fine-print details, and you need to be aware of them.

Many convention centers contract those secondary services to local businesses, and you will pay a surcharge for those services.  For example, a local catering firm may have a contract with a convention center, meaning you are locked in with that catering service.

Guarding against surprise costs.

The only way to guard against these fine-print details is to ask in advance before you ever sign an agreement.  Make sure what you are contracting for is what you want to contract for, and the sure-fire way to guard against this practice is to insist upon all inclusive pricing in the contract, protecting you against any surprise price increases or surcharges.

To fully protect yourself, plan on contracting for the food, the entertainment, and the decorations yourself, or better yet plan on doing those things yourself.  Yes, it is more work and yes, it is more detail you need to keep track of, but you can also save thousands of dollars on the final billing of the event space rental.
