Now, though, we need to give you some guidelines regarding the rental of a convention center, and the first guideline, one not included in the five below, is this: begin your search a full year in advance. Most event hall rentals will take reservations a year in advance, and you really do need to lock in on a date as soon as possible.
Now, let’s look at the five things to look for when renting a convention center.
Location and proximity
Ideally, the convention center you ultimately choose will be close by major transportation hubs i.e. airport, transit station, light-rail station, railroad station, major highways. Your convention attendees will need ease of access. Holding a convention in some out-of-the-way location may be unique, and it may even offer wonderful ambiance, but if it is difficult to travel to, it will be a turn-off for your attendees, and that is not the impression you want to make.
Adequate hotels and restaurants nearby the convention center
A successful convention is all about the information presented at the convention plus the experience outside of the convention center. Are the hotels nearby. Are good restaurants within easy traveling distance? People attend conventions for a variety of reasons, but one thing they all want is a pleasurable experience in and out of the convention center.
Adequate meeting spaces in the convention center
Most convention centers have a main floor where the main event is held, but they also have separate meeting rooms where secondary meetings can occur. If these secondary meeting rooms are not available, convention attendees are forced to find their own place to meet to discuss business matters. This is a matter of convenience and it is important to consider when looking at quality event space rentals.
Adequate floor space and flexibility of design
Nobody likes to feel crowded, and conventions are much-less enjoyable when the attendees feel like cattle at an auction. Is there enough room for your attendees to comfortably move around during the event? Look for flexibility of design in a convention center. Is the rental price of the convention center a fair price?
Call around! Shop around! Determine what is a fair price, and then lock in on that fair price once you find it. Look for, and demand, all-inclusive pricing, meaning no hidden fees or last-minute charges. Make sure all fees are spelled out in the contract. You surely have a budget to work from, and hidden fees can ruin a budget quicker than you can shout “UNFAIR!”
