You must understand the convention center calendar.
Convention center calendars are partially filled out years in advance. The remainder of the dates not reserved are rented on a first come, first serve basis.
If you are planning an event, the first thing you can do is begin the process a full year, or more, in advance, and one of the first things you must do is choose a date for that event of yours.
Choosing a date may seem like a fairly simple process, but if you are hoping to reserve a particular event room rental, or obtain a particular date, it is not that straightforward.
Certain dates are almost guaranteed to be reserved far in advance. The same can be said, in moderation, about weekend dates. Our suggestion, then, is to find an event hall rental you really like and ask them to check their calendar for available dates close to the date you wanted to hold your event. If your event is not date-specific, you can then choose a date close to the date you wanted.
We would also suggest you reserve a weekday date rather than a weekend date, if possible. The reason why? Weekday dates are often less expensive than weekend dates.
Make that convention center calendar work for you.
There are down times in the events center business, just as there are in any business. Certain seasons are slow. Certain days are slow. With a little research on your part, you can find out when those slow times are, and you could attempt to arrange to reserve one of those dates for your event; a promise to do so each year in exchange for a less expensive rental rate just might be arranged. The convention center management will be happy to have a reservation during a traditionally slow time, and they may reciprocate with a lower rental rate. This won’t work for every convention center, but it works often enough to make it worth your while to at least try.

The general perception among the public is that rental prices are etched in stone. This simply is not the case. It is our experience that most things in the business world are negotiable. We would encourage you to keep that in mind when looking for a convention center to rent. The worst that can happen is the management team will say no; the best that can happen is you will save hundreds of dollars.
