For those thinking about renting a convention center, it can seem like a daunting task. Most people know absolutely nothing about the process. It seems like such a monumental task. There are so many details to take care of, so many boxes to check, so many I’s to dot and T’s to cross.

Attendees and capacity
Before looking at convention centers, know how many attendees you will have at your event. There are seating capacities for every event space rental, established by local fire codes. This should be the very first question asked of any convention center leasing agent.
Beware of limitations
Yes, there are limitations regarding what you are allowed to do, and what you are not allowed to do, with any convention center rental. Ask, up front, early on, what the limitations are. This is the time when reading the fine print is advised, nay urged strongly. You don’t want any future headaches to occur because you were unaware of limitations in your rental agreement.
How much flexibility in design is there?
Using Tarrant Events Center as an example, we offer ten floor plans to choose from. We have a moveable stage. We have multiple big-screen video monitors. We have over an acre of landscaped grounds, and two VIP rooms in addition to the main convention hall. All of this adds up to flexibility for our clients, and it is that type of flexibility you want when renting any event room rental. If a problem arises, you want the transition to Plan B or Plan C to be effortless, but that can only happen if you have flexibility at the site.
Catering or BYOF?
Some convention centers require that you use caterers from their suggested list. Some require you to use their set-up and take-down staff. These items cost money, money you may or may not have budgeted for. As a general rule, it is always less-expensive for you to obtain your own caterer, or prepare the food yourself, and the same goes for any other tasks to be done.
Surcharges are lurking in the shadows
Again, read the fine print. We cannot overemphasize this enough. We in no way want to say that some convention centers are shady in their dealings, but we will say that some are not as forthcoming as they should be. The price you agree upon when you sign the reservation agreement is the final price you will pay when all is said and done, period, end of discussion, no hidden fees, and that’s the way it should be with all convention center rentals.
