The first question we are asked by prospective clients is this: how much does your event space rental cost?
There is an obvious reason why that is the first question: most people are working on a budget, and money is an important factor when they are planning a reception. We understand this, and we are very upfront when we tell them between $2000-$3000, depending upon the day of the week.
However, the stated event room rental price is only part of the important information a customer needs, so let’s talk about the other questions they should ask.

The point of this article, then, is to ask the other important questions, which we will touch on now.
What is included in that event hall rental price? Now we’re getting down to the nitty gritty. Are you simply renting a hall or are there tables and chairs and linens included. Is WiFi included? Is there an additional cost for video and audio equipment? Will there be servers available and, if so, what will they cost? What happens if you are late leaving the premises? What about insurance? Who is liable for what?
How soon in advance can reservations be made? Our policy at Tarrant Events Center is to take reservations a full year in advance, but that is not standard in the industry.
Is it allowed to use your own caterer, your own entertainment, and your own decorator, or are you contractually obligated to use one provided by the event center?
All these points, plus any others you can think of, should be clearly spelled out in the contract, and it is our opinion that if they are not, you should in no way sign the rental agreement.
A bonus tip when leasing an event hall rental.
Here is a tip you should insist upon. Ask the reception halls management if they include all-inclusive pricing. We do at Tarrant Events Center, and we think all event hall rentals should as well. All inclusive pricing simply means there are no surcharges and no hidden fees. What you agree upon when signing is what you will pay in the end. This may seem obvious and, quite frankly, it should be; but there are unscrupulous event centers just like there are unscrupulous businesses no matter the product or service.
In fact, to save yourself time in your search, make this the second question you ask, right after the rental fee question. If they do not offer all inclusive pricing, scratch them off your list.
