Renting an event center: the initial cost.
Depending upon where you are located, an event room rental can cost you anywhere from$500 per event to over $5000 per event. The bigger the city you are located in, the more options you will have, and oftentimes more options will mean a better chance of you finding a great price for an attractive event space rental.
One final note on the rental cost: weekdays, traditionally, will cost less than weekends, and prime rental dates, like around Christmas, will cost more than slower rental times of the year.
Secondary costs will cripple you.
People are often surprised to discover that the secondary costs can exceed the event hall rental cost. What are secondary costs? Depending upon the type of event you are sponsoring, this can be the cost of food, the cost of entertainment, the cost of beverages, and the cost of decorations. Make sure you know exactly what you are getting for your rental fee, and make sure you know what is allowed and what is not allowed. For example, one event hall rental may allow DIY in decorations, food preps, and bartending, while another rental may not allow those thing, instead requiring that you only obtain those services from a list of “approved’ vendors.
Legalities and liabilities.
What about insurance? It may interest you to know that most event centers only carry liability insurance covering an accident caused by the center’s negligence. They do not carry insurance for accidents occurring during an even for which they were not liable. It is up to the renters to obtain event insurance, and this is important to understand.
Is the type of event you are planning even allowed in a particular area? Zoning laws can be tricky in all cities, and it pays to find out, in advance, what is allowed and what is not allowed.
Our intention is not to scare you off but rather to give you peace of mind.
One final point: make sure you demand, and receive, all inclusive pricing. This means there will be no surcharges or hidden fees when it comes time to pay for the rental.
Just do your due diligence and all will be well with your event preparation.
