The information we share in this article is not specific to our event venue; it is fairly standard no matter who you rent from, so let’s get started.
There is no standard event room rental. They are all different.
Event venues come in all shapes and sizes, which is both good and bad for you, the client. It is good in that you have many options within most cities; it is “bad” in that you have a dizzying array of things to think about as you attempt to find the best match between your needs and the actual venue.
Not only are the physical buildings vastly different, but the amenities included in the rental price vary from place to place, as does the cost.
Using our own Tarrant Events Center as an example, our event space rental rents for between $2000-$3000 per event. Included in that rental price are the following:
- Tables and chairs.
- Ten floor plans to choose from.
- Two VIP rooms in addition to the main event room.
- A finishing kitchen.
- Multiple big screen monitors so you can view from any vantage point.
- State-of-the-art audio equipment.
- A moveable stage
- Wireless microphones.
Comparatively speaking, this is a great event hall rental package but, again, it is not standard in this industry, and you need to make sure you inquire, at each venue, what you will be getting for your rental fee.
You can rent an event room rental a full year in advance at most places.
Well-established and reputable venues will take reservations a full year in advance, and it is in your best interest to take advantage of this policy. Why? Not only does it insure you will get the date you want, but it also locks you into the current rental price, thus guarding against any price increases which may happen during that year. This can literally save you hundreds of dollars should there be a rental price increase.
The date matters regarding cost at most venues.
There are peak times in the venue rental industry, and there are slow times, and oftentimes you can contract for a lower rental price during the slow rental times. We mentioned that our rental cost is $2000-$3000 per event; that range in price is because some days are “slower” for us than others, and we offer a lower price during those “slow times.” Again, there is money to be saved by choosing a date during the slow times, if that is possible for you to do.
The bottom line is this: you have a lot of work to do in finding the perfect event space rental for your event. Have a solid game plan going into the process. Write down the amenities you absolutely must have, the budget you cannot break, and then go out there and find what you want and need.
