We are rapidly approaching graduation time, and that means administrators across the country are looking at graduation venues options. The good news is there are many to choose from in most decent-sized cities: the bad news is most people do not know what to look for when checking out all of those options.

Now, let’s talk about graduation venues options.
The many options for graduation venues.
A graduation ceremony can literally be held at any event venue which has the capacity to handle the number of attendees you expect. Traditionally, many graduations are held at the school, in the auditorium, but that is not always possible if the graduates, and their families, number more than the seating capacity of the school. When that is the case, it is necessary to look for other event space rentals.
Outdoor graduations are lovely, and it is fairly easy to find them in picturesque settings in larger cities, but beware of the #1 problem with outdoor venues: Mother Nature. There is no guarantee that you will have lovely weather bestowed upon you on the date reserved.
Church auditoriums are a possibility, as are VFW halls or other service organization sites. You can also look into using another school’s auditorium, if they have a larger seating capacity.
How do you choose from so many graduation venues options?
Choosing event venues always begins with the budget, and remember that your budget must not only cover the event room rental, but also decorations, food, and entertainment if that is planned.
Once the budget is set, you can begin eliminating possibilities based on dollars. After that, it is time to begin visiting possible sites, and that should include trying to envision your planned event in each site. What is your vision for the perfect graduation ceremony? Is it possible to capture that vision in the sites you visit? If not, eliminate those from the list.

Try to negotiate a better deal.
Venue prices are not always etched in stone. There is room for negotiation at many event center, and if you can’t negotiate price, perhaps you can negotiate the amenities included in the rental contract. You have nothing to lose by trying to negotiate, and you have much to gain if your negotiation efforts are positive.
Once you have done all of that, make your decision.
One final word of advice: make your reservation a full-year in advance, if possible. That way you are locked in on a price, which safeguards you against any price increases.
