Planning a wedding reception can seem like a daunting task, especially since the wedding must also be planned, but by following these tips you can lessen the stress and make the whole process quite manageable.
We are Tarrant Events Center, serving the Greater Fort Worth area as one of the leading, affordable wedding reception venues. Call us for details and to arrange for a tour of our facility.
Planning the reception
The major steps to take in planning a wedding reception are as follows:
- Set the date
- Determine your budget
- Determine the details of the reception
- Reserve a wedding reception venue
- Arrange for vendors
- Take care of incidentals and problem-solve
Let’s look at each of these in a bit more detail.
The date
You will need to set the date for the wedding and the wedding reception, and we strongly recommend you set a date one year in advance. We cannot overemphasize this point. Quality wedding venues and reception venues fill up quickly on the calendar; early planning is the key to securing the site you want.
Budget
We all have budgets. Set your budget early and then the rest of your planning will be directed by that budget. How much money can you spend on a venue? How much on food? How much on entertainment and decorations? Set that budget and stick with it.
Details
What is your reception going to look like? Will there be dancing? Will you need live music? What kind of food will you serve? Will there be a reception line? Will you need a stage? Will you need tables, and what kind of tables? Will you need separate rooms in addition to the main reception hall? How much parking is ample for your event?
Reserve
Once you know all of these things you can reserve a venue rental. Again, the sooner the better. Most Fort Worth party room rentals like Tarrant Events Center take reservations a full year in advance, and most reputable venues will lock your price in for a full year, so reserve as early as possible.
A word of advice: money can be saved by combining the wedding venues with the reception venues. Why rent to venues when one will do? Something to think about while planning.
Vendors
Will you use food vendors? Caterers or food trucks or DIY? Will you need entertainment? How about decorations? These need to be negotiated and nailed down shortly after you reserve the venue.
Incidentals
Brainstorm on this! What have you forgotten? What small details need to be nailed down? How about invitations? Toasts? Special details which will only be important to the married couple? Who is going to set up and take down?
