Our first tip should be obvious to everyone; surprisingly it is not. You need to rent an event room rental as early as possible, preferably a full year in advance. Doing this will protect you against possible rate increases, it will help you with the remainder of your budgeting, and it will help you with the logistics of planning the event.
The cost of the venue rental is, on average, between 7%-10% of the total budget, so knowing the cost in advance will help you greatly going forward.
Can you reserve a full year in advance? The answer is yes, at reputable event centers, and if this event of yours is going to be an ongoing event, you should work with the event center management and arrange for an ongoing reservation or that particular date, year after year.
Planning a corporate party Tip #2
You have a party budget, but that is simply a lump sum meant to cover the entire expense of your corporate party. How do you break that lump sum down into chunks allocated for food, for entertainment, for servers, and for set-up and take-down?
There are fixed costs, which are determined by the number of attendees, and there are variable costs, which are not determined by the number of attendees. You will need to determine these before going forward with anything else, and it will require a seemingly endless number of phone calls.
